Privacy Policy

This policy explains what personal data HackMatrix 2026 collects through hackmatrix.codes and at the event, why we need it, who helps us process it, and the choices you have.

Last updated 11 October 2026

Who we are

HackMatrix 2026 is organised by the ACM Student Chapter of Adamas University, Kolkata ("we", "us"). We decide how the data described here is used. For anything in this policy, write to [email protected].

What we collect

  • Registration: team name and, for every member, name, email address, phone number, college, and ACM membership status with ACM ID.
  • Account: the team leader's sign-in email and password (stored only as a one-way hash).
  • Payments: order and payment IDs, amount, status, and refund records. Card, UPI, and bank details are entered on Razorpay and never reach us.
  • Participation: track choice, submissions (repository links, demo links, documents), RSVP and check-in status, and judging scores.
  • Messages: the name, email, and message you send through the contact or newsletter forms.
  • At the event: photos and video of the venue, which may include you.
  • Technical: IP address, browser details, and request logs kept by our server and Cloudflare to keep the site secure.

Team leaders enter details for their teammates. By registering, the leader confirms each member has agreed to share them.

Why we use it

  • To run registration, confirm eligibility, and apply ACM pricing.
  • To take payments and issue refunds.
  • To email you about your registration, rounds, results, and event-day logistics.
  • To judge submissions, select finalists, and publish results.
  • To check you in and keep the venue safe.
  • To answer your messages and, if you subscribed, send event announcements.
  • To prevent fraud and abuse of the site.

What is public

The leaderboard shows team names, project names, ranks, and scores. Winners may be announced with team and member names. Event photos may appear in the gallery and on our social channels. Phone numbers, emails, and payment details are never published.

Who we share it with

We do not sell your data or use it for advertising. We share it only with services that run the event for us:

  • Razorpay — payment processing and refunds.
  • Resend — delivering our emails.
  • Cloudflare — hosting delivery, security, and photo storage.
  • Web3Forms — receiving contact and newsletter form submissions.
  • Our own server and database, where registration data is stored.

Some of these providers may process data outside India under their own security commitments. We may also disclose data when the law requires it.

Cookies and local storage

We use essential cookies only: secure, HTTP-only cookies that keep you signed in to the dashboard. Your browser's local storage remembers your sound and volume settings and an in-progress registration or payment so you do not lose it on refresh. We do not use analytics or advertising cookies.

How long we keep it

  • Registration, account, and participation data: until 31 March 2027, then deleted or anonymised.
  • Payment and refund records: as long as Indian tax and accounting law requires.
  • Results, winners, and event photos: kept as part of the event archive.
  • Contact messages: up to 12 months. Newsletter emails: until you unsubscribe.

Your rights

Under India's Digital Personal Data Protection Act, 2023, you can ask to see the data we hold about you, correct it, have it erased, or withdraw consent. Email [email protected] from the address you registered with. We reply within 30 days.

Erasing a team member's data before the event ends withdraws that member from HackMatrix. Payment records we must keep by law cannot be erased.

Security

Traffic to the site is encrypted, passwords are hashed, payments run on Razorpay, and only organisers who need the data can see it. No system is perfectly secure; if we learn of a breach affecting you, we will tell you and the authorities as the law requires.

Participants under 18

HackMatrix is for enrolled college students. If you are under 18, a parent or guardian must agree to your registration and to this policy before you take part.

Changes and grievances

We will post any change here and update the date above; significant changes will be emailed to registered teams. For questions or complaints about your data, contact our grievance contact at [email protected].
